Handling of Personal Information

The entire staff of AGOS Japan Inc. (hereinafter called the "Company") has a strong awareness of the importance of protecting personal information and strives to implement the following in order to promote thorough compliance with laws and ordinances relating to personal information.

1. Compliance with laws, ordinances, etc., for the protection of personal information

The Company shall comply with the Law for the Protection of Personal Information (law no. 57, 2003) (hereinafter called "Personal Information Protection Law") and shall devise measures for the safe management of personal information with the aim of preventing unlawful access to personal information and its loss, destruction, alteration, divulgence, etc., and shall promptly devise corrective measures in the event of the occurrence of any of the above. The term "personal information" as used herein shall mean "information regarding a living individual that can identify the specific individual by name, date of birth or other description contained in such information (including such information as will allow easy reference to other information and will thereby enable the identification of the specific individual)" as provided for in Article 2, Paragraph 1, of the Personal Information Protection Law.

2. Acquisition of Personal Information

When acquiring personal information, the Company shall clearly specify the purpose of use in advance and shall acquire such information by appropriate and lawful means. Whether or not individuals provide their personal information to the Company shall remain the judgment of each individual based on their own will. Please be aware, however, that it may not be possible for the Company to provide services to individuals who do not provide the Company with personal information.

3. Purpose of Use of Personal Information

The Company shall use personal information provided by individuals to the extent required for the purposes of :

  1. Providing information regarding various events, courses, teaching materials, etc., relevant to operations for the support of studies abroad undertaken by the Company,
  2. Making contacts required in the management of those operations
  3. Improving and developing services
  4. Obtaining opinions regarding the Company's services from those receiving them
  5. Preparing and analyzing statistical materials classified by user attributes
  6. Matters required for the performance of the operations to the extent that they have reasonable relativity to the stated purpose

In the event that the purpose of use is changed to the extent that it has reasonable relativity to the stated purpose, that shall be announced on this website.

In the event that an inquiry or other text containing personal information from the individual to whom such personal information relates is presented to the Company by means of a document (including but not limited to email messages), etc., addressed to the Company, the Company may forward such email message, to the required department or person in charge within the company in order to confirm and examine the content of such inquiry, etc.,

In addition, the Company may prepare and release statistical data relating to the conditions of connection, etc., to this website and, in such event, it shall not divulge or release any personal information of accessing parties to any third party.

Attorneys, patent agents, certified public accounts, tax accountants, etc., appointed by the Company shall be included among company personnel who bear liability for confidentiality in their official capacities pursuant to laws and ordinances.

4. Management of Personal Information

The Company shall strive to maintain the accuracy and recency of personal information to the extent required for the accomplishment of the purpose of use disclosed in advance. In addition, the Company shall establish a system necessary and appropriate for the safe management of information in order to prevent the loss, alteration, divulgence, etc., of personal information.

5. Reinforcement of Employee Education

The Company shall prepare or purchase study materials relating to the protection of personal information and shall distribute them to all employees (including contract employees, subcontractor employees, dispatched employees and part-time workers) and shall periodically conduct training for all employees, etc., in the handling of personal information

6. Development of In-House Rules Relating to the Protection of Personal Information

The Company shall develop in-house rules relating to the protection of personal information and shall present clearly defined policies for the handling of personal information while ensuring that all employees are thoroughly aware of the Company's intention to deal severely with the divulgence, etc., of personal information.

7. Establishment of an "Information Security Committee" and Reinforcement of Functions

The Company shall establish an Information Security Committee, shall clarify its role and shall develop an environment that enables the appropriate implementation of activities relating to the protection of personal information.

8. Provision to Third Parties

Personal information shall not be provided to third parties without the agreement of the individual involved. However, customer information may be provided to third parties relating to the following uses.

  1. Upon the consignment of business operations outside of the company
  2. Upon the transfer of business operations, etc.
  3. If applicable to Article 23, Paragraph 1, of the Personal Information Protection Law if based on a lawsuit, legal investigation, inquest, laws and/or ordinances, etc.

9. Review and Improvement of Business Consignments

The Company shall promote reviews and improvements of the consignment of business operations taking the protection of personal information more into account. When entering into business consignment contracts, it shall thoroughly examine the qualifications of the outsourcing partner and shall implement appropriate management to ensure that the content of the contract takes the protection of personal information more into account.

10. Development and Enhancement of the Auditing System

The Company shall develop a system capable of conducting in-house audits of the appropriate implementation of the protection of personal information.

11. Use of IP addresses and cookies

The Company shall use IP addresses of users registered in logs primarily for the purposes of

  1. Identifying the cause of problems that occur in the server and resolve such problems-,and
  2. Ascertaining website management and conditions of use

Cookies are small-size information packets that are transmitted by websites to the user's browser and may be stored in the use's hard disk in the form of a file. The use of cookies makes it possible for the website to record what pages are being visited by users. The Company uses cookies primarily for the purposes given below.

12. Disclosure of Personal Information to the Individual, Revision, Usage Termination and Deletion

The Company is aware that individuals have the right to demand disclosure to themselves of their own personal information as well as its revision, termination of usage, deletion, etc., and shall respect the wishes of individuals in the event that a request for disclosure, revision of content, termination of usage, deletion, etc., of the personal information in the possession of the Company is received from the individual in question or the individual's representative and shall respond as required to a reasonable extent.

When undertaking the procedure for the disclosure of personal information pursuant to Article 24, Paragraph 2, and Article 25, Paragraph 1, of the Personal Information Protection Law, please enter the required items on the form prescribed by the Company and submit it to the above Inquiry Desk. Your identity will be confirmed by the method described on the form. Please be aware that, pursuant to Article 30 of the Law, you will be charged a fee of \540 (tax inclusive) per inquiry.

In addition, the handling of revisions of the content of personal information, termination of usage, deletion, etc., will require about one week to complete. Please be aware that, during that time, a notice from the Company may be sent to the contact that was valid prior to revision or deletion.

13. Guidelines for Transmission of Specified Electronic Mail

Based on the Act on Regulation of Transmission of Specified Electronic Mail (law no. 87, 2003), Ministry of Internal Affairs and Communications issued the Guidelines for the Transmission of Specified Electronic Mail (hereinafter called "Specified Email Transmission Guidelines")

The Company shall comply with the Specified Email Transmission Guidelines. The Company sends Newsletters regarding various events and information, etc. relevant to studies abroad. 14. Other Items

The Company does not accept any liability whatsoever for the handling of personal information provided by users to Internet websites of third parties that have links to our website. Please access the rules, etc., relating to the handling of personal information of the relevant linked website.

Please be aware that the Company may revise items posted on the website based on reasonable necessity in response to changes in the content of services provided by the Company or in online technology.
